How To Archive Emails

Click the File tab

  1. Click Tools and Clean Up Old Items

2. Click the Archive this folder and all subfolders option, and then click the folder that you want to archive [only can select 1 folder to be archived]. Under Archive items older than, enter a date. Select save to location on "Archive file:" [suggest to save to D: drive if have one]

  1. Select the same archive file for other folder. You can name your archive file as Archive[YYYY] example Archive2021 for year 2021
  2. Make sure before do this, your email setting is set to ALL downloaded from Exchange server: If you have huge emails never archive for many years, select ALL may take some times to download to your outlook. Suggest to download 1 year, then archive. After done, continue with 2 years and archive if you have huge emails.
